Code of Conduct
How we interact with each other at CIIIC events
CIIIC organizes meetings where interaction, knowledge sharing, and collaboration are central. This code of conduct describes how we interact with each other to ensure a safe, respectful, and inclusive environment for everyone. The code applies to all participants and those involved in CIIIC events and clarifies what behavior we expect, what we do not accept, and how reports are handled.
Why This Code of Conduct
This code of conduct outlines the behavioral standards, guidelines, and principles that apply to everyone involved with CIIIC: employees, volunteers, partners, professionals, guests, and participants.
The code supports a safe, respectful, and inclusive environment, where integrity, responsibility, and professional behavior are central. It provides guidance for making ethical choices, both internally and externally.
With this code of conduct, CIIIC makes its values visible, and together we build a culture of trust and respect, where everyone can be themselves and connect with others. Clear agreements about behavior and boundaries help create and maintain a pleasant, professional, and safe environment.
Who and Where This Applies To
This code of conduct applies to everyone involved in CIIIC events: attendees, speakers, moderators, partners, suppliers, volunteers, crew, and organizers. The code is applicable to all live and hybrid activities, including informal moments such as networking drinks and dinners, on-site, in event apps, chat channels, and in online sessions associated with the event.

Desired Behavior
We expect all participants to be considerate of each other, to communicate openly and constructively, and to ask for permission when it comes to personal questions, physical contact, or taking and sharing images. Feedback should be substantive and focused on improvement.
- Treat everyone equally; without discrimination or distinction, exclusion, or preferential treatment based on race, color, gender, pregnancy, sexual orientation, identity, marital status, age, religion, political belief, language, nationality, or social position
- Be considerate of others, even when there is a difference of opinion
- Communicate respectfully and constructively (also in Q&A, pitches, feedback sessions)
- Seek permission for personal questions, physical contact, close-up photos/films, or sharing someone else's information
- Provide feedback on content and approach, not on someone's person or characteristics
- Be aware of your surroundings: if you see an unsafe situation or someone in need, report it to the organization
Unwanted Behavior
CIIIC does not accept behavior that is perceived as intimidating, hurtful, discriminatory, or transgressive. This applies to all participants, speakers, crew, partners, and visitors during CIIIC events, both during the program and informal moments (such as drinks, networking, and dinners). This also includes behavior in event apps, chat channels, and online sessions associated with the event.
- Discrimination, exclusion, or hateful expressions based on, among other things, origin, skin color, gender, gender identity, sexual orientation, age, religion, disability, or social position
- Sexual harassment and unwanted sexual attention, verbal, non-verbal, or physical (such as inappropriate comments, touching, staring, or innuendos)
- Intimidation, bullying, abuse of power, stalking, or deliberately belittling or silencing others
- Aggression, threats, or violence, physical or verbal
- Theft, vandalism, or deliberately disrupting program components, conversations, or activities
- Bringing, displaying, or using objects that can serve as weapons
- (Excessive) alcohol or substance use that affects the safety, atmosphere, or course of the event, including possession or use of illegal substances
- Taking or sharing photos, videos, or recordings without permission
- Sharing explicit sexual, shocking, or unsafe material within the context of the event
- Unwanted approach or messages via event apps or chat channels, including solicitation, sexual innuendos, or repeated insistence against someone's will
Photo, Film, and Media
CIIIC has the practice of taking or having photos and/or videos taken at events. By participating in an event, you give CIIIC permission to use this material on its channels such as the website or social media channels. If you – for any reason – do not want photos or videos to be made of you: please inform someone from the organization.
Taking photos for personal use is possible, but please respect the individual and the personal safety of the people gathered at or around the event.
- Respect everyone's privacy and boundaries
- Do not take targeted photos/videos of an individual who clearly does not want to be photographed
- Do not share images that embarrass, stigmatize, or make someone feel unsafe
Reporting and Acting
If you see unwanted behavior, or experience it yourself, we ask you to always report it to the organization or a designated contact person. CIIIC takes reports seriously, handles them carefully, and acts where necessary.
You can always report, even if you are unsure whether something is "serious enough." Reporting helps to protect people, raise awareness, and prevent recurrence.
You can report unwanted behavior in various ways. We have internal and external contacts to provide you with safety, confidentiality, and independence. During CIIIC activities, you can also always directly approach the CIIIC team on-site if something happens or if you feel unsafe.

What you can expect from us:
- We listen, take reports seriously, and handle information confidentially
- We ask (where possible) what you need and which steps are appropriate
- If desired, we will put you in contact with our external confidential advisor
- We can intervene immediately to restore safety

In cases of (sexual) misconduct
In the event of an unwanted or (sexual) boundary-violating experience, we advise contacting the Centrum Seksueel Geweld as soon as possible. This center offers immediate, specialized support: medical, psychological, and legal.

Consequences
In case of a violation of this code of conduct, CIIIC may take appropriate measures. The severity of the measure depends on the nature of the violation, the circumstances, and the consequences for those involved and the community.

- Adjustments to your participation or access possibilities
- Temporary or permanent exclusion from (part of) the platform or event
- Blocking your account or communication possibilities within the community
- In severe cases: reporting to competent authorities or legal action
